Cooperation to optimise compliance processes in vendor management systems

On 17 March 2025, Impact Service GmbH and the IZS Institute for Payment Security announced a strategic partnership aimed at improving compliance requirements when working with third-party personnel and reducing the risk of secondary liability.

Background

Impact Service GmbH is one of the leading providers of vendor management systems in German-speaking countries, while the IZS Institute for Payment Security is known as a specialist in the field of compliance. In an environment in which economic uncertainties and impending insolvencies increase the risk for personnel service providers, automated compliance management solutions are becoming increasingly important. These developments require continuous monitoring and evaluation of the companies in order to identify legal risks as early as possible.

Details of the cooperation

As part of the collaboration, IZS data will be integrated into the 11A | HR VMS solution from Impact Service GmbH. This enables a continuous and automated review of all relevant documents and liability-related payments, whereby, for example, AÜ licences, social security contributions and contributions to professional associations are systematically checked and updated. At the same time, the integration allows financial difficulties of personnel service providers to be identified at an early stage, for example in the form of instalment payments or deferrals, so that potential risks can be quickly recognised and appropriate countermeasures initiated. The seamless integration of the IZS ratings into the 11A | HR VMS ensures that detailed data on personnel service providers can be called up and analysed immediately, which significantly increases the efficiency of managing supplier relationships. In addition, client companies are given the opportunity to take out SubsidiärProtect® special insurance to cover them against secondary liability claims up to a sum insured of €1.6 million.

Extended functionalities and security aspects

The collaboration significantly expands the range of functions offered by the 11A software. The automated checking of all relevant data ensures seamless compliance with compliance requirements, which helps to minimise legal risks. The IZS data is obtained directly from official institutions such as the Federal Employment Agency, employers’ liability insurance associations and health insurance funds, which virtually eliminates the risk of manipulation and ensures that the information is up to date and reliable. At the same time, seamless integration into existing VMS processes leads to efficient control of supplier relationships, as personnel service providers and user companies can simplify their administrative processes and thus significantly increase legal certainty.
